Anti-Spam Policy

Host PR Limited, trading as Host (“Host”, “we”, “us” or “our”), is committed to responsible email communication and to complying with applicable Irish and EU data protection and electronic communications law.
This policy explains how we use email as part of our public relations and media relations work, the steps we take to prevent spam, and what you can do if you no longer wish to receive communications from us.
Our Anti-Spam Commitment
Host does not send unsolicited bulk or indiscriminate email, commonly referred to as spam.
We do not use, or authorise any employee, contractor, partner, affiliate or other third party to use, unsolicited bulk email to advertise or promote Host, our services or the website hostandcompany.ie.
We do not purchase, rent, scrape or harvest bulk email lists for marketing or PR mailings. We do not add email addresses collected from social media profiles or other public online sources to bulk mailing databases simply because those addresses are publicly available.
Email and Our PR Work
Email is an essential part of Host’s day-to-day work as a public relations agency.
Our team regularly communicates with journalists, editors, writers, producers and other media professionals on behalf of our clients. These communications may include:

press releases and news announcements;

story and interview opportunities;

invitations to launches, events and media activities;

information, images and other editorial materials; and
-
follow-up correspondence relating to stories, clients or previous media contact.
These communications are directed to people whose professional role is reasonably relevant to the information being sent. We aim to ensure that the subject matter is appropriate to the recipient’s role, publication, area of coverage or existing relationship with Host or our clients.
We do not treat our media contacts as a general consumer marketing list.
How We Manage Media Contacts
Host maintains professional contact information as part of its ongoing media relations work.
We take reasonable steps to ensure our contact information remains relevant and up to date. Where we become aware that a journalist or other contact has changed role, an email address is no longer valid, or the contact is no longer relevant to a mailing, we remove or suppress that address as appropriate.
We do not knowingly send mailings to:

addresses known to be invalid or no longer in use;

recipients who have asked us not to contact them;

purchased or rented email lists;
-
harvested or scraped email lists; or
-
addresses collected indiscriminately without consideration of their relevance to the communication.
Bulk mailing tools must not be used by Host staff to send indiscriminate messages to unverified contact lists.
Professional and Business Communications
Irish electronic communications law recognises that professional email communication can differ from consumer marketing.
Where Host contacts a journalist, editor or other professional at an email address reasonably understood to be used for their commercial or official work, we will only do so where the communication is relevant to that professional activity.
We also consider our obligations under applicable data protection law when collecting, storing and using professional contact information.
Data Protection and GDPR
Where an email address or other professional contact information constitutes personal data, Host processes that information in accordance with the General Data Protection Regulation (GDPR), the Data Protection Act 2018 and other applicable data protection legislation.
We only process personal data where there is an appropriate lawful basis for doing so. Depending on the circumstances, this may include the legitimate interests of Host, our clients and the media professionals with whom we communicate, provided those interests do not override the rights and freedoms of the individual concerned.
We consider factors including the nature of the professional relationship, the source of the information, the relevance of the proposed communication and what the recipient could reasonably expect in their professional role.
Opting Out of Communications
Anyone who receives an email from Host may ask us not to send them further communications.
You can do this by:

replying directly to the email and asking to be removed from future mailings; or

contacting us at info@hostandcompany.ie.
We will action valid opt-out requests promptly.
Where necessary, we may retain limited information on a suppression list so that we can record the request and avoid accidentally adding the address to future mailings.
Mailing Lists and Subscriptions
We do not use our media relations database as a general marketing or newsletter subscription list.
Where Host operates any subscription-based email service, recipients will be added in accordance with applicable consent and electronic marketing requirements and will be provided with an appropriate way to stop receiving those communications.
Third-Party Sending
Host does not authorise third parties, affiliates or distribution partners to send unsolicited bulk email promoting Host or hostandcompany.ie.
Where a service provider processes email or contact information on our behalf, we require that service to be used consistently with this policy and applicable data protection and electronic communications law.
Bounces, Invalid Addresses and Database Maintenance
We monitor our contact databases and take reasonable steps to remove or suppress addresses that are invalid, repeatedly bounce or are otherwise no longer appropriate for use.
We periodically review older contacts to reduce the risk of sending messages to outdated or abandoned email addresses.
Reporting Unwanted Email
If you believe you have received inappropriate or unwanted email from Host, please contact us so that we can investigate it.
Please include enough information for us to identify the communication concerned.
